Teledyne Marine Systems is EveryWhereYouLook!Position Summary and ResponsibilitiesTeledyne Marine Systems is seeking a Customer Service Administrator with order entry and/or customer support experience to provide administrative support to both the customer service and support/repair service teams. This position will be the lead customer service administrator for two of our ocean product brands and will ensure compliance with Teledyne standards and guidelines within a fast-paced environment. He/she must be organized with a high degree of accuracy, attention to detail, business acumen and office decorum.Essential Duties and Responsibilities :Support of Customer Service:Performs all aspects of the Customer Order Process and Customer Order Entry ProcedureOrder quoting prepares spare parts order quotes for Teledyne Marine and Teledyne TapTone Customers via Sales Force and IFSPerform general Clerical duties (filing, scanning, photocopying)Support Shipping and customers with shipping documentation and communication as neededSupport export classification process with Trade Compliance. Ensure all export rules and regulations are followed on all orders. Learn and perform OCR screening as neededMaintain excellent customer relationshipsTake customer phone calls, answer customer emails, and obtain technical assistance as requiredCreate Return Material Authorizations and Credit Memos as requiredWork with Daytona accounting team on blocked orders, Credit card payments, and advanced invoicesEnter sales leads into SalesforceAssist PLMs and outside Sales team when neededSupport of Service/RepairAssist with generation and coordination of the Return Authorization Process (RMA) used in the return of parts and CROs for the return of customer equipment for depot repairIssues RMA/CRO number and coordinates the return shipment in conjunction with the customerWorks in conjunction with Trade Compliance for all international RMA/CROs to be imported or exported, ensuring the return has the correct paperwork in place, proper values and any Trade Compliance codes (ECCN, HTS, etc.) and instructions for the shipment provided to the customer to allow the proper return of goodsProvides repair quotesProvides repair estimate updates to customers as needed; ensures customer purchase orders are adequate for the work being performed and meet all of Teledynes requirements before processingCoordinates with shipping and receiving on all inbound and outbound RMA/CROsGenerate final Customer Order for Invoicing and closing out the CRO / SHOP ORDER in IFSUpdates the records as appropriate in SalesforceWorks with the repair team on outside processes in support of repairsEnsures adherence to SAAM and all appropriate approvals are in placeCandidate must possess U.S. citizenship or be a U.S. PersonQualificationsEducation and Experience :4+ years of experience in a customer support environmentBachelors degree preferredExperience with ERP systemSalesForce or other CRM system experienceExperience developing and administering business processes with a sales focusContinuous improvement knowledgeJob Knowledge, Skills and Abilities :Proficiency with Microsoft Office products such as Excel, Word, Power Point, and AccessExcellent written/verbal communication skillsAbility to work in a fast-paced multi-task environmentAbility to interact in person and by phone/email with a global customer baseMeticulous attention to detailAptitude to understand a diverse portfolio of ocean technology products and partsWorking with an ERP system; understanding of MRPThe physical/mental demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
