    Role Overview:
    As an Administrative Specialist in our Youth Services program, you will play a pivotal role in supporting our mission by providing exceptional administrative assistance. This role requires a blend of strong communication skills, good time management, and outstanding organizational and customer service skills.


    Responsibilities include:

    • Provide departmental reception services, receiving and directing visitors or calls.
    • Prepares reports and presentations, often of a complex or confidential nature.
    • Supports organization of marketing materials, reception area, case management offices, and Mill You program to ensure a welcoming, inclusive and informational environment.
    • Organize and assist in planning meetings, events, and hosting client visits - internal/external. This includes maintaining and organizing meeting minutes and documentation.
    • Ensures that departmental operations comply with organizational policies and procedures. Participates in and contributes to special projects as directed by the department head.
    • Receives and responds to correspondence and maintains departmental records.
    • Communicate with vendors to ensure that administrative or program needs are maintained.
    • Serve as the liaison with CTI administrative offices and Division to ensure follow through and completion of all administrative tasks.
    • Collaborate with Youth Services "Front Door" staff to communicate/engage needs of young adults accessing the Youth Opportunity Center.
    • Participate in trainings to support a youth-focused, trauma informed lens.
    • Participate in program meetings as required.
    • Performs other related duties as required.


      Qualifications include:

      • High School or Equivalent.
      • Prior relevant experience preferred.
      • Ability to build collaborative relationships.
      • Excellent customer service, organizational, interpersonal, oral and written communication skills.
      • Ability to work well under pressure with good problem solving and decision making skills.
      • Ability to manage multiple priorities and work in a fast-paced environment with minimal supervision.
      • Excellent attention to detail and ability to maintain confidentiality.
      • Excellent teamwork skills.
      • Proficient Computer Skills to Include Windows, Microsoft Word, Excel, Internet, and comfort learning new software and tracking systems.
      • Must be able to work a flexible schedule including evenings and weekends.
      • Bilingual skills (English/Spanish, English/Khmer, English/Portuguese) preferred.
